How to start a commercial quote

Email three things to help@energysentry.com. With those, we can build a proposal. Phone photos are fine.

The three things we need

A commercial proposal is built from the building, so the equipment list comes after we can see the service. These three items are enough to start.

1
12 months of utility bills
2
A load list, every load 3 kW or larger
3
Photos of the meter and every panel

Dealers can use the same list. The qualification worksheet is the same list on two pages, ready to fill in on site and email with the photos.

Tell us about the building

A few lines in the email are enough. Put them in the message, or on the worksheet.

  • Building name, site address, and who owns or operates it
  • A contact name, phone, and email
  • Your utility, and the dealer if one is involved
  • Square footage and how many buildings are on the account
  • When the building is full, and when it is empty
  • Anything recent or planned: EV chargers, solar, a new rooftop unit, a kitchen line

The bills

Send twelve months, as a PDF or a clear photo of every page. The bills are what let us calculate the savings: peak demand month by month, load factor, and the shape of the peaks.

If you have them handy, also include:

  • Rate plan or schedule name
  • Utility account number and meter number
  • Service size in amps, and the phase: single-phase 120/240 V, three-phase 120/208 V, three-phase 277/480 V, or something else
  • A 60-minute interval-data export, if the meter can produce one

Interval data is useful. The twelve months of bills are the part we cannot price without.

The load list

List every load around 3 kW or larger that we might control, and rank them by priority. A water heater can wait. A compressor that cannot short-cycle, or a load that has to stay on during a service, should say so.

Loads worth writing down: rooftop units and split-system condensers, air handlers, electric water heaters, electric heat and furnace strips, walk-in coolers and freezers, kitchen equipment, pool and well pumps, EV chargers, and large motors.

Write this downExample
Priority1 = leave it alone, 5 = shed it first
Name and locationRTU-3, west roof
Breaker size60 A
PanelMDP, or Panel B in the kitchen
Poles2 or 3
NotesTwo heat stages. Do not short-cycle.

A spreadsheet, a photo of a handwritten list, or the worksheet all work. Lighting, plug loads, and refrigeration cases can stay off the list. We see them on the bill, and we do not control them.

The photos

Stand close enough that the labels are readable. One clear photo of each is better than a wide shot of the room.

  1. Meter and service entrance. The meter face, and the gear it feeds.
  2. Main panel open, breakers visible. Door open so we can read the breaker sizes.
  3. Every sub-panel schedule. The printed label on the door, even if the panel stays closed.
  4. A spot near the main panel where a controller could mount, with a sense of the wall space.
  5. The nameplate on each load you want controlled. Model, voltage, and amps or kW.
Two questions the photos usually answer

If you already know, say so in the email. If you do not, send the photos and we will look.

  • Can current sensors reach the three-phase mains at the main panel?
  • Is there wall space near the meter for a utility pulse box and an isolation relay?

What you get back

We read the bills against your tariff, then use the load list and photos to size the equipment: which controller, how many control points, and whether the loads are reached with relays or power line carrier.

The proposal is an equipment list, an installed price, and a savings estimate built from your own bills, stated as a range. If a photo leaves a question open, we ask, or an engineer or certified dealer walks the building before the price is final. If the numbers do not work, we say so.
